1. Who we are
This website is operated by ZENXIAN (PVT) LTD, trading as Zenxian, a company registered in Sri Lanka under registration number PV 00363667. We are responsible for deciding how personal information collected through this website is used.
You can contact us at business@zenxian.io or +94 76 666 2363. Our business contact address is No. 100, Welikadawatta Road, Rajagiriya, Sri Lanka.
2. Information we collect
- Enquiry details. Our contact form asks for your name, email address, optional company name, enquiry type, and a message describing what you need.
- Correspondence. If you contact us directly, we receive the information you include in your email, call, or follow-up conversation.
- Order and billing details. If you accept a proposal, subscribe to a product, or make a payment, we may receive your name, business name, contact details, billing address, invoice or order reference, purchased service, amount, currency, and payment status.
- Technical information. Website hosting, security, and content delivery services may process your IP address, browser and device information, requested pages, access times, and error information when serving the website.
Please share only what is needed for your enquiry. The website contact form does not ask for payment card details, passwords, identity documents, employee records, or sensitive customer data. Never send complete card details or one-time payment codes by email or through the contact form.
3. Payment information and online payments
When you make an online payment to Zenxian, information such as your name, contact details, billing information, transaction amount, and transaction reference may be processed to complete and record the payment.
Online payments may be processed through PayHere or other authorised third-party payment service providers. Payment card and wallet details are entered into the payment provider’s checkout. Zenxian does not store customers’ full debit or credit card details on its website or systems.
Payment and transaction information may be used for payment processing, payment confirmation, refunds, fraud prevention, accounting, and legal or regulatory requirements. We may receive a payment identifier, payment method type, masked card details, status, and other transaction information needed to administer the payment.
4. How we use information
We use enquiry information to respond to you, understand your requirements, arrange discussions, prepare proposals, and manage related correspondence. We use order and transaction information to issue invoices or receipts, provide paid services, manage subscriptions, reconcile accounts, prevent fraud, respond to payment questions, and process approved refunds. Technical information helps us operate the website, investigate errors, and protect it from misuse.
Where a legal basis is required, the relevant basis depends on the activity: taking steps you request before entering into a contract, our legitimate interests in responding to business enquiries and maintaining a secure website, compliance with legal obligations, or your consent where required. We consider the effect on your rights when relying on legitimate interests.
Sending an enquiry does not subscribe you to unrelated promotional messages. Where consent is needed for an optional use of your information, it must be obtained separately and can be withdrawn.
6. Service providers and sharing
We use service providers to make the website and enquiry process available:
- Hostinger provides website hosting. Its infrastructure processes information needed to deliver and maintain the site. See Hostinger’s privacy policy.
- Web3Forms handles delivery of contact form enquiries to our business inbox. The enquiry fields are sent to this service for processing and delivery. See Web3Forms’ privacy policy.
- PayHere and other authorised payment providers process online payments where offered. Information entered at checkout is handled by the selected provider and relevant banks, card networks, wallet providers, and other payment participants. Zenxian receives transaction information needed to verify and administer the payment. See PayHere’s privacy policy.
- Email and technical services support correspondence, website delivery, and troubleshooting. Pages that load external scripts or interactive content may connect to providers such as jsDelivr or Spline, which receive the technical information needed to serve that content.
Information may also be shared with professional advisers where necessary for their work, or with authorities where disclosure is required by law. Access should be limited to what is needed for the relevant purpose.
If you follow a link to another website, that website’s operator is responsible for its own handling of your information.
7. International processing
Our business is based in Sri Lanka, but service providers may operate or store information in other countries. Information is not necessarily stored only in Sri Lanka. Provider arrangements and the services used determine where processing takes place.
Any transfer must follow applicable data protection requirements. Contact us if you need information about the providers or transfer arrangements relevant to your enquiry.
8. Retention and security
We retain information for the purpose for which it was collected, including responding to an enquiry, continuing a business discussion, providing paid services, handling payments or refunds, keeping necessary tax and accounting records, resolving disputes, and meeting legal obligations. The period depends on the nature of the record and any resulting client relationship.
Copies may remain in email systems, session records, technical logs, or backups for their applicable retention periods. Web3Forms states that form submissions may be retained for up to three years, with shorter periods depending on the plan or earlier deletion. See its current retention information.
You can ask us to review or delete your enquiry information. Some records may need to be retained for legal obligations or a dispute; if so, we will explain the relevant reason.
We use website security controls, including form validation and measures against automated abuse. No internet transmission or storage system is completely secure, so please avoid sending sensitive material through the general enquiry form.
9. Your requests and choices
Email business@zenxian.io to ask about the information we hold about you, request access or a correction, or ask for deletion. Depending on the law that applies, you may also have rights to object, restrict processing, receive a portable copy, or withdraw consent for processing based on consent.
Please describe your request and the email address or enquiry it relates to. We may ask for enough information to verify your identity before providing personal information. Requests are handled within applicable legal time limits and may be subject to lawful exceptions.
You may raise a concern with the relevant data protection authority where applicable. In Sri Lanka, information about the authority and its procedures is available from the Data Protection Authority.
10. Scope and policy updates
This policy covers our marketing website and business enquiries. Personal information handled inside Trangle or software we operate for clients is subject to the relevant product notice and client agreement. This website policy does not replace those arrangements.
The website is intended for people exploring business services. If a child has provided personal information that should not have been submitted, please contact us so we can review and remove it where appropriate.
We may update this policy when our services, information handling, or applicable requirements change. The date at the top identifies the latest version. Where required, we will provide an additional notice of material changes.
